Privacy Policy Statement Rata 2025

This Privacy Policy Statement explains for what purpose your personal data is used, and what rights you have as registered participant. The privacy policy statement applies to the Rata 2025 event organized on February 11-12, 2025, and related stakeholder activities, where the data controller is Tapahtumantekijät Oy.

Rata 2025 is a two-day seminar event taking place in Tampere Hall, Tampere, Finland. The event is aimed at rail traffic professionals, those interested in railways and students.

2. Purpose of processing personal data

The purpose of personal data processing is to organize Rata 2025 event. Personal data is processed to execute event arrangements, such as sending event invitations, informing and processing feedback about the event.

3. Principles for personal data processing

We only collect and process personal data that is necessary to conduct our business, manage customer relationships and for appropriate commercial purposes.

4. Personal data processed

In general:                                    

– person’s name

– email address

– represented organization/company, and the position in the organization/company.

When a person registers for the Rata 2025 event, information regarding participation and other matters relevant to organizing the event (such as contacts related to the event) as well as the feedback given by the person are recorded. Providing the necessary personal data is a prerequisite for participating in the event.

In addition, data on special diets is collected in order to organize the event’s catering services. This data will not be forwarded to anyone other than restaurant of Tampere Hall, and even then, the data will be processed anonymously.

5. Period of data storage

Event-specific information will be stored until the next Rata event.

6. Regular sources of data

The register of the Rata 2025 event consists of the contact data of those registered on the event’s mailing list and from the organizer’s own stakeholder register. Collaborators can also notify their contact persons to Rata 2025 event themselves. The personal data given while registering to the event is obtained from the registrants themselves.

The data controller has its own register of stakeholders. The privacy police statement of stakeholder register is available

on organization’s own website. If necessary, organization’s contact person responsible will provide additional information.

7. Data recipients

The data is disclosed to those who request it in accordance with law. Data and documents are public unless they are expressly stipulated by law to be kept secret.

Tapahtumantekijät Oy processes personal data in the information systems it uses.

Data will not be disclosed for direct marketing and market research of any kind, unless disclosure for this purpose is separately stipulated.

8. Transfer of data outside the EU or the EEA

Data is not transferred outside the European Union or the European Economic Area.

9. Your rights as data subject

You have the right to know whether we are processing your personal data and the right to receive a copy of your own personal data.

You can ask us to correct incorrect information regarding your personal data.

You have the right to object to the processing of your personal data on grounds related to your personal situation when your data is processed to perform a task in the public interest or to exercise public authority.

You can ask us to limit the processing of your personal data under the conditions stipulated in Article 18 of the Data Protection Regulation.

You can submit a request regarding your rights by sending an email to rata2025@tapahtumantekijat.fi, which is the email address of Rata.

Exercising the above rights is free of charge, except if the requests are manifestly unfounded or unreasonable, especially if they are made repeatedly.

You have the right to file a complaint with the supervising authority if you believe that the processing of your personal data violates applicable data protection regulations. In Finland, the supervising authority is Office of the Data Protection Ombudsman (www.tietosuoja.fi).
